Create a data store item for an existing registered data store

Publishers and administrators can add specific types of user-managed data stores to federated servers through an ArcGIS Enterprise portal. However, the workflow to add data store items is supported for newly added data stores only.

If your federated servers have database or file share data stores that were registered using ArcGIS Server Manager, ArcGIS Pro 2.4 or earlier, or ArcMap, you, as the portal administrator, can create data store items for these existing data stores.

Once you create a data store item for a registered data store, the data store is only available to the set of portal users with whom you share the item. For example, a file share registered to an ArcGIS Server site using ArcGIS Server Manager is available for use by anyone who has access to the file share. Once you create a data store item for the file share, you must share the item with portal groups, the entire organization, or the public to make it available to anyone other than the owner of the data store item and portal administrators.

Create a data store item

To create a data store item in the portal for a database or file share data store that was registered with one of the portal's federated ArcGIS Server sites, create an item in ArcGIS Server Manager.

  1. Sign in to ArcGIS Server Manager for the federated site.
  2. Go to Site > Data Stores.
  3. Click the Create Item button Create Item next to the data store.

    You can create data store items from databases registered from .sde files only. Items created from .odc files are not supported.

  4. Read the information that summarizes what it means to create a data store item for a data store registered to a federated server. If you want to proceed with creating the portal item, click Create Item.

    A data store item for this data store is created in the portal with which the ArcGIS Server site is federated. Because you created the data store item, you own it and yours is currently the only account that has access to it.

  5. To allow existing publishers to continue using this registered data store, you must share it. The Create Item button has changed to a Sharing Properties button Sharing Properties. Click it to open the Sharing Properties dialog box.
  6. Choose who can access the data store item. In most cases, you'll want to share with a group of publishers. If such a group doesn't exist, you need to create a group in the portal and invite the appropriate members.
    • Check the box next to the group or groups whose members you want to access the data store item.
    • If you want to grant access to all portal members, check the box next to the portal name.
    • If you want anyone who has access to the portal to access this data store, check the box next to Everyone (public).
  7. Click Save to share the data store item.

The portal now contains a data store item registered with the federated server. If the data store was registered to only one federated server, you can now change ownership of the data store item so it is owned by the person who registered it originally.

However, if the data store was registered to multiple federated servers, and it was registered using the same data store name, complete the steps in the following section to associate the other federated servers with the data store item before changing ownership of the data store item.

Associate additional federated servers

If the data store was registered with multiple federated servers, and the person registering the data store used the same name for the data store when they registered it with each ArcGIS Server site, you must bind the data store item with the additional federated server or servers.

Note:

You can bind the data store item to other federated servers only if the data store is already registered with those federated servers, the registered data store has the same name on all the federated servers, and the data store accesses the same data source location.

If the data store meets these criteria, you must associate the data store item with the other federated servers using the following steps. Do not use the Settings tab of the new data store item to add the federated servers to the data store item; this creates duplicate data stores on the other federated servers. After you create a data store item from one of the federated servers, complete the following steps for each additional federated server:

  1. Sign in to the Portal for ArcGIS REST endpoint as the portal administrator.

    Signing in opens the Users page for your login.

  2. You need the data store item ID and the ID of the federated server that you want to access the data store item. To obtain these IDs, follow these steps:
    1. Scroll to the bottom of your Users page and click User Content.
    2. In the User Content list, find the data store item you created in the last section. If you created the data store item in your user folder, it will be in the Items list. If you created it in a subfolder, it will be in the Folders list.
    3. Click the item name, copy the ID, and paste it into a text editor or some other location from which you can copy it again when you need it.
    4. Go to Home > Portals > Self and scroll to the bottom of the page.
    5. Click the Servers link in the Child Resources list.
    6. Copy the Server Id for the federated server you want to associate with the data store item and paste it into a text editor or some other location from which you can copy it again when you need it. If there are other federated servers you want associated with the data store item, copy those as well and save them where you can access them.
  3. Now you can proceed with associating the other federated servers with the data store item.
  4. Go back to Home > Portals > Self and scroll to the bottom of the page.
  5. Click Datastores in the Supported Operations list.
  6. Click Add to Server.
  7. Paste your data store item ID in the DatastoreId field.
  8. Paste the ID of your federated server in the ServerId field.
  9. Click True next to Bind to existing server data store and click Add data store to server.
  10. For each additional federated server for which you want to bind to the data store item, repeat steps 7 and 8.

The data store item is now associated with all the federated servers to which you bound it. You can, optionally, change ownership of the data store item so it is owned by the person who registered it originally.
